The Challenge

Gulf Coast Pavers had real interest in AI and nothing underneath it. There was no organizational AI policy, so employees had no guidance on what data was safe to use, and ChatGPT was individual experimentation rather than a company capability. Two structural problems sat behind that:

  • Content in the wrong place: Roughly 4TB of company content lived outside the permission-aware Microsoft structure that Copilot needs in order to read anything safely.

  • Estimating built on memory: The highest-leverage workflow in the business ran on spreadsheets and estimator recall — bid logic varied by person and by region, and formula changes were nearly impossible to trace.

The risk was the familiar one: buy the licenses, skip the foundation, and watch adoption stall.

The Solution

LouderAI sequenced the work deliberately across five months, so each stage made the next one possible.

  • Foundation before licenses: Ran discovery with leadership, wrote the organizational AI policy, stood up a governed ChatGPT Business workspace, and rebuilt the content layer on a permission-aware SharePoint and OneDrive structure — validating the Microsoft environment before a single Copilot license was assigned.
  • Enablement built for roles: Delivered customized training and role-based guides backed by a communications toolkit, standing office hours, and pre- and post-training measurement.

  • AI on live data, owned internally: Built Custom GPTs and shared Copilot agents against real GCP content, each scoped to existing permissions and handed to a named internal owner. In parallel, ran a structured evaluation of estimating platforms and led selection, buildout, and training through go-live.

We also recommended against one build — rather than ship a reconciliation agent Copilot would handle unreliably, we pointed GCP to a better-suited tool they already owned.

Results & Accomplishments

Every contracted priority closed complete and transferred to GCP ownership:

  • Trained 30 employees on Copilot and ChatGPT, with 88% reporting moderate or complete understanding.

  • Migrated roughly 4TB across four sequenced tranches with zero interruption to live project work.

  • Deployed nine AI solutions on live company data — all owned internally, so GCP can edit, maintain, and republish them without us.

  • Moved estimating off spreadsheets and estimator memory into configurable, auditable assemblies, with estimator override retained so judgment stays with the estimator.
  • Projected 7–13.5 hours per person, per week in recovered capacity.
