Case Study
Building An AI Target Research Agent With Microsoft Copilot Studio
AI Summary: LouderAI partnered with ARR Healthcare (Alliance Recruiting Resources), a national physician recruiting firm, to design and build an AI-assisted Business Development research and workflow system on Microsoft 365. Using Copilot Studio, SharePoint, and Power Automate, LouderAI built a Target Research Agent that starts with ARR's existing JobScience data, researches each organization against 17 ARR-approved job boards and websites, qualifies it against ARR's Ideal Client Profile, and delivers evidence-backed, prioritized opportunities to the Business Development team. The system moved from discovery to a validated MVP in roughly four weeks, built entirely within ARR's existing Microsoft environment.
Client: ARR Healthcare (Alliance Recruiting Resources)
Size: Middle-market
Industry: Healthcare Staffing & Physician Recruitment
Our Role: Led requirements discovery, solution architecture, agent build, workflow automation, and end-to-end validation of an AI-powered target research system for Business Development.
Services: AI Agent Development (Microsoft Copilot Studio), Workflow Automation (Power Automate), SharePoint Solution Design, Requirements & Discovery, Validation & QC
The Challenge
ARR Healthcare places permanent and locum physicians with hospitals, health systems, physician groups, and community health centers across the country. For its retained permanent search business, the hardest part of growth wasn't finding organizations with open physician roles — it was finding the right ones at the right time.
ARR's Business Development team relied on a wide mix of manual prospecting methods: reviewing hospital career pages, scanning public and specialty job boards, monitoring industry news, and working referrals, conferences, and campaigns. Qualifying a single prospect required significant manual research, and the process varied from rep to rep.
The team needed to identify organizations that:
- Fit ARR's Ideal Client Profile —physician groups with 10+ physicians, mid-size hospitals of 100–499 beds, FQHCs, and community health centers with recurring recruiting needs.
- Had a real, relevant physician need — in specialties ARR actively pursues.
- Showed signs of recruiting pain — aged, repeated, or multiple openings suggesting internal efforts weren't succeeding.
- Weren't already engaged with a competitor — excluding postings from other staffing and recruiting agencies.
At the same time, ARR's JobScience CRM contained duplicate accounts and contacts from prior imports, and the organization wanted to augment its existing data, not replace its CRM or add another standalone tool to manage.
The Solution
LouderAI recommended a target research agent as part of an earlier AI Quick Win engagement with ARR, then led the effort from requirements through validated build. Rather than an open-ended AI that crawls the internet for arbitrary prospects, LouderAI designed a controlled, evidence-first system built entirely within ARR's existing Microsoft 365 environment — answering one core question for the BD team: Who should ARR pursue, and why now?
Key solution components included:
Structured discovery & requirements definition
- Conducted stakeholder sessions with ARR's marketing and Business Development leaders to define the Ideal Client Profile, qualification rules, disqualifiers, and recruiting-pain signals.
- Documented baseline requirements covering source monitoring, vacancy aging, ICP matching, duplicate prevention, prioritization, and human review.
- Defined clear scope boundaries, separating target identification from outreach automation and dormant-account re-engagement so each could be addressed as its own workstream.
JobScience intake & duplicate protection
-
Built an automated intake workflow that converts a standard JobScience export into a research queue in SharePoint.
-
Consolidated multiple contacts into a single Target Account per organization, preventing duplicate records from flowing into research.
ARR Target Research Agent (Microsoft Copilot Studio)
- Built a Copilot Studio agent that researches each organization against 17 ARR-approved job boards and websites, keeping research inside a defined, trusted source universe.
- Applied ARR's qualification rules to classify each organization by client fit, priority tier, confidence level, and suggested next step — from Call now to Pass.
- Captured posting source, direct URL, specialty, vacancy age when supported by the source, and the reasoning behind every recommendation: Why this organization? Why now?
- Designed explicit "don't guess" controls when evidence is missing, the agent returns an insufficient-evidence result rather than manufacturing an opportunity.
SharePoint BD workflow & automated outputs
- Wrote every research result into structured SharePoint lists, creating a persistent source of truth and a centralized workflow for BD opportunities.
- Built dedicated views for each BD rep, allowing reps to manage assigned opportunities, update status and next actions, set follow-up dates, and document notes.
- Built two automated output workflows: a Monday/Wednesday/Friday BD Opportunity Digest of open Tier 1–3 opportunities and a weekly Leadership Summary of research and BD activity.
Validation, documentation & handoff
-
Tested the system across materially different scenarios — strong evidence, limited evidence, high-volume openings, ambiguous organization names, and parent-versus-affiliate qualification — and corrected logic where testing exposed gaps.
-
Delivered a rebuild-grade build specification, end-to-end QC checklist, and handoff readiness plan so ARR can own, maintain, and extend the solution.
Results & Accomplishments
LouderAI's approach turned a manual, rep-dependent prospecting process into a repeatable, evidence-backed research workflow:
- Discovery to validated MVP in roughly four weeks, delivered within ARR's existing Microsoft 365 licensing and well within the approved Copilot usage budget.
- 72 target accounts ingested and 71 researched during build and validation, each with a priority tier, confidence rating, supporting evidence, and source links.
- 17 approved job boards and websites loaded into the agent's research universe — focused research, not indiscriminate crawling.
- One connected system, four automated workflows — intake, research, BD digest, and leadership summary — all running on the same underlying SharePoint records.
- Built-in protection against bad data: duplicate contacts consolidate into one account, and the agent leaves fields blank rather than inventing vacancy ages or qualification details.
- Human judgment stays in control — the agent surfaces evidence and recommendations; ARR's BD team decides how and when to act.
- A foundation for what's next, including automated territory routing to BD reps, expanded source coverage, and connected outreach workflows.
